Company: Bristol Animal Rescue Centre Line Manager: Lee Coombs Genre: Non Broadcast Sector: Non Broadcast Description : As the Senior Receptionist and Administrative Assistant to the Manager, I am tasked with many responsibilities in this varied and complex role. I have worked with Bristol Animal Rescue for 7 and a half years and have grown within the position continuously over this time, always looking for new ways to improve our efficiency and excel as a team within the charity. As the Senior Receptionist I ensure that the rest of the team are always tasked with something to do and oversee their work, so that I remain aware of everybody's capabilities and areas that need improvement. I myself take on the duties of the reception team, which include handling confidential documents in correspondence with GDPR legislation, greeting members of the public in person as well as by phone and email, entering all data into our bespoke database accurately, creating intake paperwork for any animals being admitted and transfer paperwork for animals leaving our care, processing and correctly filing Adoption Applications, monitoring and updating the intake diary, updating the website by removing and adding animal profiles, organising and taking minutes at both reception staff meetings and management meetings, generating a day list of events and reminders so that the whole team can reference the schedule for that day, training any new reception staff/ volunteers, communicating with different departments across site regularly regarding daily events and updates i.e. deliveries, orders, veterinary care, comms matters etc.
As well as my reception duties, I also undertake administrative work for the centre Manager. I collate relevant data and produce monthly rehoming reports, monthly stray dog reports (both using Excel, in which I am proficient), monitoring post adoption communication with our supporters, ensuring that all the Systems of Procedure documents are up to date and have been read by the necessary members of staff, archiving various documentation in correspondence with GDPR legislation, catching up with ACAs regarding any issues they might have with the veterinary/ reception team and making an official report for the Manager. I am often called on to be flexible within the role which I am more than happy to do. This could range from assisting with training sessions, giving supporters and benefactors tours of the site or meeting and collaborating with other departments in regards to particular events and social media campaigns.
