Monday & Thursday 9am – 5pm
Tuesday & Wednesday 9am – 7pm
Friday 9am – 6pm
Based: Central London
Reports to: Studio Manager, London
Job Purpose:
You play a central role in our core team at our busy Central London HQ.
You are responsible for assisting with the day to day smooth running our busy production office/studio.
Overall you will support the requirements of our various production and development teams enabling them to work creatively and effectively.
You an will be the first point of contact to all our guests, clients, staff when arriving at the office and represent the image of the company. Key to this will be creating a positive and inclusive welcome and atmosphere.

Responsibilities:
Working with the Studio Manager your key role is to create a smooth running of the office and all it’s logistical and admin needs this includes but not limited to:
OFFICE:
• Working with the Office Admin Assistant in managing the issuing of front door fobs/keys and security codes for new staff
• Setting up new systems to make office run effectively.
• Managing deliveries and the sending of parcels, keeping the office kitchen clean Managing meeting room bookings
• and well stocked, maintaining the presentation and hygiene standards around the office. Making sure meeting rooms are ready for meetings.
• Managing all company assets.
• Being the main point of contact and support for employees, suppliers and clients entering the office.
• General office maintenance, administration tasks.
• Carrying out Adhoc requests from different departments from purchasing client or staff gifts etc.
• Managing the organisation of studio storage units & keeping an up to date inventory list
• Studio File/Asset management- managing & maintaining the studios Vimeo/LTO/Asset lists/viewing figures logs. Making sure to communicate company wide when shows are airing
• Making sure the printer has paper and up to date toner
• Keeping the kitchen clean and coffee machine/teas etc replenished
• Purchasing the weekly shop of lunch items, biscuits and fruit.
• Replenishing the sweet jars around the office
• Watering/ caring for office plants
• Answering the office door intercom/letting people up and welcoming them
• Sorting & replenishing stationary and other office subsistence i.e cables/adaptors etc.
HR:
• Helping with birthday / leaving gifts
• Contributing to the setting of company wellbeing initiatives
• Inducting new starters on company security systems and processes and ensuring all staff understand our safety protocols and their individual responsibilities.
IT:
• Onboarding new team members and doing inductions. Including preparing emails, laptops, keys and desk areas.
• Wrangling basic IT issues on behalf of staff as required.
• Making sure we have enough laptops and planning for future needs.
OTHER:
• Helping reconcile credit card for senior executives.
• Generally supporting our Director of Production & Production Executives with expenses and diary management
• Assisting on tasks related to production as required.
• Attending shoots if extra help is required.
• Assisting with company communication when shows are transmitting / creating signature cards for shows / assisting with letting contributors and crew know transmission dates if required.Company Name
